1. Why This Policy Exists
I take your privacy seriously. This policy explains what personal information I collect when you contact me or order a family tree, how I use it, and how I keep it safe. I don’t sell or share your data — ever.
2. What Information I Collect
When you use my contact form or email me directly, I may collect:
- Your name
- Your email address
- Details about the person or family you’d like me to trace (e.g., “My grandmother, Mary Cooper, born London 1890”)
This information is provided by you, voluntarily, so I can help with your family history request.
3. How I Use Your Information
I only use your details to:
- Respond to your enquiry
- Carry out genealogy research for your family tree
- Send your completed keepsake (via email or post)
- Occasionally follow up to ensure you’re happy with your tree
I do not use your data for marketing, profiling, or sharing with third parties.
4. How Your Data Is Protected
- Your messages are sent securely via Formspree, a GDPR-compliant form service
- Emails are stored in my private inbox (Gmail) and are never accessed by others
- Physical records (if posted) are handled with care and discarded after delivery
- I do not use cookies, trackers, or analytics that identify you personally
5. Your Rights
Under UK GDPR, you have the right to:
- Request a copy of the information I hold about you
- Ask for corrections or deletion of your data
- Withdraw consent at any time
To make a request, just email me at tracy@traceatree.co.uk — I’ll respond within 7 days.
6. How Long I Keep Your Data
- Enquiry details: 12 months (to handle follow-ups or future requests)
- Completed family trees: 24 months (in case you need a re-print)
After this, all personal data is securely deleted.
7. Changes to This Policy
If I update this policy, I’ll post the new version here with an updated “Last updated” date. No retroactive changes will affect past data.
