Privacy Policy for Trace a Tree

1. Why This Policy Exists

I take your privacy seriously. This policy explains what personal information I collect when you contact me or order a family tree, how I use it, and how I keep it safe. I don’t sell or share your data — ever.

2. What Information I Collect

When you use my contact form or email me directly, I may collect:

Your name
Your email address
Details about the person or family you’d like me to trace (e.g., “My grandmother, Mary Cooper, born London 1890”)

This information is provided by you, voluntarily, so I can help with your family history request.

3. How I Use Your Information

I only use your details to:

Respond to your enquiry
Carry out genealogy research for your family tree
Send your completed keepsake (via email or post)
Occasionally follow up to ensure you’re happy with your tree

I do not use your data for marketing, profiling, or sharing with third parties.

4. How Your Data Is Protected

Your messages are sent securely via Formspree, a GDPR-compliant form service
Emails are stored in my private inbox (Gmail) and are never accessed by others
Physical records (if posted) are handled with care and discarded after delivery
I do not use cookies, trackers, or analytics that identify you personally

5. Your Rights

Under UK GDPR, you have the right to:

Request a copy of the information I hold about you
Ask for corrections or deletion of your data
Withdraw consent at any time

To make a request, just email me at tracy@traceatree.co.uk — I’ll respond within 7 days.

6. How Long I Keep Your Data

Enquiry details: 12 months (to handle follow-ups or future requests)
Completed family trees: 24 months (in case you need a re-print)

After this, all personal data is securely deleted.

7. Changes to This Policy

If I update this policy, I’ll post the new version here with an updated “Last updated” date. No retroactive changes will affect past data.
